To manage its business records more effectively, the firm uses Archive Systems' Virtual Records Center (VRC), a comprehensive, Web-based extension to paper-based records management. The VRC enables them to request Virtual File Delivery in order to view documents online. The firm can then provide authorized employees and third-parties with secure access to their imaged files.
"Our company is expanding so we needed to make our archival warehouse accessible nationwide. At any time, one of our office locations may require information from a file. With Archive Systems, we are able to provide that information in real time. They offer services that other companies can't match," stated the firm's Facilities Manager.
In addition to Virtual File Delivery, the VRC allows the firm to search inventory, request physical file delivery, schedule pickups or deliveries, and order supplies all from the desktop. "We've been able to significantly reduce our costs as a result of implementing the VRC. It makes us more efficient while eliminating the need to make numerous copies of a file and then ship the documents overnight," the Facilities Manager added.
The firm is also storing files at Archive Systems' offsite Records Center facility and will be using the shredding services to destroy documents based on the firm's retention policy.
